How to build a study-abroad pipeline your team will actually use
The stages that fit how students really move from enquiry to enrolment, and how to keep the pipeline simple enough that counsellors update it.
By the Edudex team — we ran a study-abroad agency for six years before building this.
A pipeline is only useful if your team keeps it up to date. The most common mistake is copying a generic sales pipeline that does not match how study-abroad students actually move, so counsellors stop updating it and the data goes stale.
Stages that match reality
A study-abroad journey has a natural shape. A workable default set of stages looks like this:
- Lead — a new enquiry, not yet contacted.
- Contacted — first reply sent, conversation started.
- Application — the student is applying to one or more universities.
- Offer — one or more offers received, conditions being worked.
- Sponsorship — visa sponsorship documents in progress.
- Visa — visa applied for or granted.
- Enrolled — the student has started, and commission follows.
Keep it configurable
No two agencies work identically. Stages should be editable data owned by the agency, not fixed labels, so you can rename, add or remove them as your destinations and processes change.
Make updating effortless
The reason pipelines rot is friction. If moving a student forward takes many clicks, it will not happen. Capture that fills the top automatically, clear ownership, and a single-screen view of each student make updates a habit rather than a chore.
Edudex ships with sensible default stages for study-abroad work and lets your agency shape them, so the pipeline reflects how you actually operate.
